1. Program Scope
The Competition Entry Management Program is an optional administrative service provided by Welight Art Space.
The program may include identifying suitable opportunities, checking basic eligibility requirements, preparing standard entry information, uploading artwork images and submitting entries on behalf of the student.
The program does not include competition coaching, the creation of new artwork, substantial changes to existing artwork, professional photography, framing, delivery, collection or attendance at exhibitions or award events unless separately agreed.

2. Program Fee
The program fee is $59 per student, per school term.
The fee includes up to three standard competition submissions during the enrolled term.
The program fee covers ongoing monitoring and administration. It is not calculated solely according to the number of entries ultimately submitted.
Unused submissions do not carry forward to another term and cannot be transferred to another student.

3. No Guaranteed Number of Entries
Welight does not guarantee that three entries will be submitted during the term.

The actual number of submissions will depend on the availability of suitable competitions, the student's eligibility, the availability of suitable completed artworks, competition themes and requirements, submission deadlines, and the accuracy and completeness of information provided by the parent.
Welight may decide not to submit an entry where the student, artwork or available information does not meet the competition requirements.

4. External Competition Entry Fees
External entry fees charged by competition organisers are not included in the program fee.
By enrolling in the program, the parent authorises Welight to submit suitable competitions with an external entry fee of up to $20 per entry without requesting separate approval each time.
External entry fees will be charged separately to the parent.

Where an entry fee exceeds $20, Welight may decide not to submit the entry or may contact the parent for separate approval.
External entry fees are generally non-refundable once an entry has been submitted, unless the competition organiser provides a refund.
Welight may suspend submissions where fees remain unpaid.

5. Additional Administration Fees
Additional fees may apply where an application requires substantial work outside a standard online submission.
This may include lengthy written statements, portfolios, video submissions, recommendation letters, specialist photography, extensive image editing, physical forms, printing or postage, multiple-stage applications, or physical artwork delivery or collection.
Parents will be informed before an additional administration fee is charged.

6. Parent Responsibilities
Parents are responsible for providing complete and accurate information, supplying an email address that is regularly monitored, informing Welight when contact or residential details change, responding promptly when additional information is requested, paying external entry fees and approved additional charges, and arranging framing, delivery, collection, transport or attendance where required.
Welight is not responsible for missed or unsuccessful entries caused by inaccurate information, delayed responses or unpaid fees.

7. Authority to Submit
By enrolling in the program, the parent or legal guardian authorises Welight to complete standard competition entry forms; provide authorised student and parent information; upload photographs of the student's artwork; provide artwork titles, dimensions, materials and descriptions; submit artist statements prepared from information available to Welight; communicate with competition organisers regarding administrative matters; receive and forward competition correspondence; and accept standard competition entry declarations reasonably required to complete a submission.
Welight will seek additional parent approval before knowingly accepting terms that transfer ownership of the original artwork, create a significant financial commitment or impose unusual obligations on the student or family.

8. Artwork Originality
Artwork submitted through the program must be the student's own original work.
Normal classroom instruction and age-appropriate teacher guidance are permitted, but the student
must remain the principal creator of the artwork.
Welight may decline to submit artwork where there are concerns regarding copying, artificial intelligence-generated content, ownership or excessive adult involvement.

9. Publication by Competition Organisers
Competition organisers may require permission to display, photograph, reproduce, publish, promote or archive submitted or selected artworks.
This may include use in exhibitions, websites, social media, online galleries, catalogues, posters,
media releases, and educational or promotional materials.
The student's name, age, school, artwork title, artwork image or artist statement may also be
published.
Any use by the organiser will be governed by the organiser's own terms and privacy practices.
Welight does not control how an organiser uses submitted materials after an entry has been
submitted.

10. Privacy
Welight may collect and use information including the student's name and date of birth, school and school year, residential address, parent or guardian contact details, artwork photographs and information, and competition results.
This information may be provided to relevant competition organisers and submission platforms where reasonably required to manage an authorised entry.
Welight will take reasonable steps to store personal information securely.
Parents may request access to, correction of or deletion of information held by Welight, subject to any legal, financial or administrative record-keeping requirements.

11. Judging and Competition Results
All judging, selection and eligibility decisions are made independently by competition organisers.
Welight cannot guarantee acceptance of an entry, finalist selection, exhibition, publication, an award, a prize or feedback from judges.
Competition results do not affect the student's standing or progress within Welight.

12. Physical Artwork
Where an organiser requires the original artwork, the parent is responsible for framing, packaging, transport, delivery, collection and associated costs unless separately agreed.
Welight is not responsible for loss or damage occurring while artwork is in the possession of a competition organiser, gallery, courier or other third party.

13. Communication and Deadlines
Welight may set internal deadlines earlier than the organiser's published deadline.
If requested information or payment is not received by Welight's internal deadline, the entry may not be submitted.
Welight is not responsible for delays or failures caused by incorrect email addresses, unread emails, spam or junk filtering, external website failures, organiser system errors, organiser changes to dates or requirements, or events outside Welight's reasonable control.

14. Withdrawal and Refunds
Parents may withdraw from the program by notifying Welight in writing.
The program fee is generally non-refundable once the term has commenced or administrative work has begun, except where a refund or other remedy is required under the Australian Consumer Law.
Withdrawing from the program does not automatically cancel an entry that has already been submitted.
External entry fees already paid may be non-refundable under the organiser's terms.

15. Limitation of Responsibility
To the extent permitted by law, Welight is not responsible for loss arising from rejection or disqualification by an organiser; judging or selection decisions; changes to competition rules or deadlines; inaccurate information supplied by the parent; delayed parent responses; external website or payment failures; organiser publication of submitted materials under its terms; or loss or damage to physical artwork outside Welight's possession.
Nothing in these terms excludes, restricts or modifies any right or guarantee that cannot legally be excluded under the Australian Consumer Law.

16. Agreement
By submitting the registration form, the parent or legal guardian confirms that they have authority to enrol the student, have provided accurate information, authorise Welight to manage suitable competition entries, and agree to these Terms and Conditions.
These Terms and Conditions apply for the enrolled school term.
